How to do a massive update?
Massive update can help you if you want to:
modify data on a set of product sheets-or even on the entire catalog.
quickly and efficiently complete certain empty fields in product sheets.
This involves extracting obsolete or missing information from an editable Excel table. Once the table has been filled in according to your needs, the data will be massively integrated into Gaia in a single operation.

Preparing for the bulk update
To prepare your massive update, you need to determine in advance :
The data (fields) to be modified, and the module where it is located on Gaia (for example, the base price is in the "Prices, taxes and customs" module).
The list of products (GTIN/EAN) affected by this operation.
Modifications can be made to all, or to individual distributors, depending on your requirements.
How do you massively update products?
Export the data to be modified
Step 1: Access the function via the Data > Mass update menu.
Step 2: Click on the "Create an export file" button on the top right-hand corner of the screen.
Step 3: You arrive on the export data selection page.
The only mandatory field is "Module to be extracted". It allows you to select the section(s) containing the information to be modified. For example, if you wish to update the base price, you need to select the "Prices, taxes and customs" module.

Once you have selected a module, you can move on to step 4 - or choose to target the data more precisely and customize it.
Step 4: Once you have configured the parameters to suit your needs, click on Continue. You will see all the fields that will appear in the Excel file. If you find the information you want to update, click on Continue again.
Step 5: You arrive on the product selection page. Select any product you wish to update. Feel free to increase the number of references visible at the bottom of the page.
WARNING, Please note that some products may not appear: they may be archived.
Once all the GTINs have been selected, click on "Generate file" to obtain the excel table.
Working with the excel update file
If you are reading this section, you have already retrieved the massive product update excel table described above.
Please do not modify the structure of the table (by deleting columns, for example). This may corrupt the import of updated data into Gaia.
This table works as follows:
The first four columns are always the same. They enable you to clearly identify your products in the table. Do not modify them.
The rest of the columns represent all the fields you have selected in your extract request. You can modify the data directly in the cells.
Note that some columns offer a multiple choice of answers.
You can leave cells empty if no particular data is expected. Alternatively, if you don't need to change any data, you can leave them as they are.
Once you have made all the changes you want, save the table on your computer.
Integrating new data into Gaia
If you are reading this section, you have finished preparing the data update table.
Step 1: Return to the "Bulk update" section of Gaia.
Step 2: Click on the "Control and integrate" button on the top right-hand corner of the screen.
Step 3: The import data configuration page appears.
You must select at least one control unit for which the mass update is to be applied. If you wish to update all retailers, select "Standard".
Then click on "Upload file" and select the update excel table prepared before.
Step 4: The data import is integrated into the platform from the excel file you have prepared. You can view the progress of the process.
The duration of this operation varies according to the number of products affected by the mass update.
After the massive update, you receive a data import report by e-mail.
In the event of a product update error (e.g., a base price has been mistakenly entered in words instead of numbers), you will be notified of the product to be corrected.
Guidelines
Here are just a few of the cases in which we recommend using mass product updates.

Organic Certificate | Quality information | Organic certificates have an expiry date. When you change your certificate, you may need to update the data on a large number of records. Mass updating can help. |
List of ingredients | Nutritional information | You want to complete or standardize the list of ingredients on your products. |
Nutritional claims | Nutritional information | Some groups, such as Carrefour, ask you to provide a list of the nutritional elements of your products. Use the mass update feature to manage this information efficiently. |

A little reminder to help you use the bulk update
The file has an expiration date. After 1 month, you can no longer integrate the file.
We advise you to extract a new file every time you need to do an update.
